Exhibitor Travel & Setup Information
| The Marriott will begin check-in no earlier than 4:00 PM on your arrival day. The block of hotel rooms reserved
is available until January 26, 2009. If you're staying
with us at the Marriott, get your reservation in ASAP Vail Resorts Management Company is handling our transportation needs this year. Please feel free to click on Travel Info for detail. Charter Sports (located inside the Marriott) has again agreed to offer discounted ski rentals to CRASH 2009 exhibitors and their guests. Charter Sports is offering complimentary ski & boot storage (including overnight boot drying), in addition to footwear that can be worn to and from your room. For a printable reservation form, click here. If possible, stay for the NASTAR Race on Thursday, 4 March, 1:00 pm. You and your guests will be allowed the usual two runs through the gates at no charge. Again, the plan is to have a Vail photographer take a picture of each racer which will be available for purchase. We would like to extend a personal invitation for exhibitors to attend the Opening Reception on Sunday evening between 7:00 and 8:00 PM. Beer, wine and hors d'oeuvres will be provided. This is the premier time to mingle with participants. Everybody comes down for at least a few minutes. We run children’s videos to allow parents to break away from their youngsters for a little while, which frees them up to visit your exhibit. YOUR BOOTH Set-up of your booth may commence no earlier than 8 am on Sunday, 1 March 2009. If you are arriving and setting-up on Sunday, YOUR BOOTH SET-UP MUST BE COMPLETED BY 4 PM ON SUNDAY AFTERNOON AS THE RECEPTION COMMENCES IN THE AREA OCCUPIED BY YOUR BOOTHS AT 6 PM SHARP. Items being shipped to the Marriott should be received by the hotel no more than 3-4 days pre-conference. The hotel has agreed to make every effort to keep your packages damage-free but if they are received too far in advance, the possibility of damage is greater. Packages you are bringing with you can be unloaded by a bellman at the front door or you can park your car on the west side of the parking structure and come in the west door which leads directly to the pre-function area. If you cannot reach Russ or Bev and are having problems involving the hotel, as a last resort, contact Kami Sutton at the Marriott ((970)479-6947). Your packages should be shipped to: Vail Marriott Mountain Resort & Spa, 715 W. Lionshead Circle, Vail, CO 81657, Attention: CRASH 2009. Your name and company name should be prominently displayed on the box for easy identification. Please come to the CRASH registration desk and let us know you have arrived. Your booth will be clearly marked and your nametags on your table. Generally it's first to sign up, closest-to-the-refreshments – although extremely large monetary donations have been known to cloud our thinking. Tear-down of booths should not occur before 7:00 PM on Tuesday, 3 March 2009. We encourage you to maintain your booth throughout the conference at no additional charge. If that is not possible, you may leave your vendor materials so they can remain out for the duration of the course. However, all materials left will be discarded after the conference. YOU MUST BE PACKED UP AND VACATE THE EXHIBIT HALL NO LATER THAN NOON, FRIDAY 6 MARCH 2009. ** Please do not hesitate to contact Russ Ingram or Bev Janik regarding any of the foregoing. We want to make it as easy for you as possible, and to encourage the Exhibit Hall to be an inviting location for our participants to gather. ** The Moderator for each of the morning and afternoon talks will take about a minute at the beginning of each session to encourage the participants to visit and talk with the vendors.
